SCU Hiring Paperwork

All Spring Clean-Up & Reunions employees must provide the documentation below as soon as possible in order to be hired. You should submit these documents even if your plans to work may change.

You will forfeit your temporary housing and employment if this paperwork is not completed by Monday, May 1.

Spring Clean-Up Hiring Paperwork

I-9 Form

The I-9 Form is a federal form used to verify your employment eligibility. You may complete a paper copy of the I-9 in the Dorm Crew office; please bring physical copies of all supporting documents with you (see below)

This form requires you to provide supporting documents that establish your identity (e.g., a driver's license), work authorization (e.g., an original Social Security card) or both (e.g., a passport). Please review the list of acceptable documents and bring these documents to the Dorm Crew office when you complete your I-9. You must provide original, unexpired documents. Federal requirements prohibit us from accepting scans or photocopies.

The I-9 form also asks you to provide a Social Security number. If you do not have a Social Security number, don't worry! We'll help you apply for one!

Alternatively, you can complete the employee section of the I-9 Form electronically, but you must print out the form and sign the physical copy in person at the Dorm Crew office (this is a federal requirement). Dorm Crew TR Form

The Temporary Registration (TR) Form is a Harvard document used to enter your information into the University's payroll system. You must complete this form electronically and email it DormCrewSCU@harvard.edu

HAA Temp Info Form

The HAA Temp Info Form is also a Harvard document used to enter your information into the University's payroll system. You must complete this form electronically and email it DormCrewSCU@harvard.edu.

HAA Children's Program Paperwork

World Sports Camp will contact you directly about additional paperwork you are required to complete for Children's Program Day and Evening Staff positions.

Mail Forwarding & Direct Deposit

To ensure timely receipt of your paychecks, we strongly recommend that you set up mail forwarding and direct deposit.

Set up Mail Forwarding

  • Paychecks may be lost in the mail if you do not set up a mail forwarding address before campus mail service ends.
  • It can take Harvard Payroll up to 12 weeks to re-issue missing paychecks.

Set up Direct Deposit

  • Even if you set up direct deposit, Harvard Payroll will always issue your first check as a paper check mailed to your campus address.
  • The easiest way to ensure your SCU paychecks are direct deposited is to set up direct deposit and work for Dorm Crew before Saturday, April 29th.
  • You can work any amout of time. This time will be paid as a paper check, and then your SCU paychecks will be deposited in your bank account.

Hiring Paperwork for International Students

I-20 Form

The I-20 Form is a federal form that Harvard has provided to you. This form is supporting documentation for your visa, and we need to a copy of it in order to process your paperwork.

I-94 Form

The I-94 Form is a federal from that you received upon entry in the United States. You must provide a copy of this form in order to process your hiring paperwork. You can also access the form online.

Social Security letter

A Social Security number is required to work. If you do not have a Social Security number, you will have to obtain one in order to work for Spring Clean-Up. The Harvard International Office provides the most current information on obtaining a Social Security Number.

You will first need to get a letter from Dorm Crew confirming your offer of employment. Please visit our office in Weld basement as soon as possible to receive this letter. When you receive your Social Security card several weeks later, you will need to bring it to the Dorm Crew so we can complete your paperwork.

If you do not receive your Social Security card before Spring Clean-Up begins, you will forfeit your position and temporary housing.

Tax Information

W-4 & M-4 Form

After your hiring paperwork has been processed by Harvard's payroll office, you must designate how much money the University should withhold from your paycheck for taxes. You will need to complete these tax withholding documents online:

  • W-4 Form (a federal form instructing Harvard to withhold federal taxes from your paycheck)
  • M-4 Form (a state form instructing Harvard to withhold Massachusetts state taxes from your paycheck)

You may need to file a federal income tax return if you receive a minimum amount of gross income for the calendar year. Filing a federal income tax return requires the information from your W-2 form. Harvard mails you a W-2 form each January. You may also access the form online.
